Why sending programs over WhatsApp eventually breaks

Most online coaches start the same way: write the program in Word or a spreadsheet, export a picture or a PDF, send it on WhatsApp. That works for three or four clients. It stops working the moment the roster grows.

The break point: the first revision

A client messages that their knee hurts. You swap the movement, rebuild the file, export again and resend. Now two versions of one program sit in their chat, neither labelled. Next month, when they ask which one was current, you will not know either.

The costs you do not see

• History disappears — finding last month’s program means scrolling a chat.
• Every new client means typing the same ten intake questions by hand.
• A lost phone or a cleared chat takes your working archive with it.
• The client cannot tell how to perform a movement, because a screenshot only carries its name.

The fix is not to abandon WhatsApp

WhatsApp is a fine place to talk to a client and you are not going to stop using it. What has to change is where the authoritative copy of the program lives. Once it has a stable home, a revision is an edit — not a new file and another send.

What that looks like in practice

• Build your exercise library once, with a GIF or a demo link on each movement.
• Write the program day by day and group supersets so the intended pairing is obvious.
• Write for a phone number before the client has an account — the programs link to them when they register.
• Export a PDF for clients who want a file, but keep the online program as the source of truth.

The payoff is not that the work looks nicer. It is that the second program onward takes a fraction of the time, and you never hunt for the current version again.
